Terms & Conditions
Effective Date: 1 October 2026
Welcome to Wild Horizons Safaris. These Terms & Conditions apply to safaris, Kilimanjaro climbs, beach holidays, day trips, transfers, excursions and other travel services arranged by Wild Horizons Safaris.
By confirming a reservation or making any payment towards your journey, you acknowledge that you have read, understood and accepted these Terms & Conditions.
Â
1. Booking Confirmation
Your booking becomes confirmed once:
- Wild Horizons Safaris has received the required deposit or full payment stated in your quotation or invoice; and
- We have provided written confirmation of your reservation.
Accommodation, domestic flights, park permits, activities and other services remain subject to availability until the booking has been formally confirmed.
Â
2. Payments
A deposit may be required to secure your safari or holiday.
The amount of the deposit and the deadline for the remaining balance will be shown on your quotation or invoice.
Unless otherwise agreed with Wild Horizons Safaris in writing, the full outstanding balance must be paid before the start of your trip.
Payments may be made through the payment methods approved and communicated by Wild Horizons Safaris.
Any bank fees, card processing fees, international transfer charges, currency conversion charges or similar transaction costs are the responsibility of the traveller unless otherwise stated.
Â
3. Tour Prices
Prices are based on the services, accommodation, activities and government charges available when your quotation is prepared.
Before confirmation, prices may change due to circumstances including:
- Changes in national park or conservation fees
- Government taxes or levies
- Fuel price increases
- Currency fluctuations
- Accommodation price changes
- Airline or domestic flight fare changes
- Changes made by third-party suppliers
Once a booking has been confirmed and fully paid, Wild Horizons Safaris will honour the agreed price except where additional costs arise because the traveller requests changes to the itinerary or where unavoidable government charges are introduced after confirmation.
Â
4. Cancellation by the Traveller
We understand that travel plans sometimes change.
Where a traveller cancels a confirmed trip, Wild Horizons Safaris may issue a credit for amounts already paid, allowing the journey to be rescheduled within 24 months from the original travel date, subject to supplier conditions and availability.
Some lodges, hotels, camps, airlines and other suppliers have their own cancellation policies. Where a supplier has already charged a non-refundable amount, its cancellation conditions will apply to that portion of the booking.
No refund or credit will normally be available for:
- No-shows
- Late arrivals
- Early departure from a safari
- Unused accommodation
- Missed activities or excursions
- Missed transfers
- Meals or other services voluntarily not used
Cancellation requests must be submitted to Wild Horizons Safaris in writing.
We recommend notifying us as early as possible so that we have the best opportunity to negotiate postponements, credits or refunds with our suppliers.
Â
5. Changes Requested by the Traveller
You may request changes to your itinerary before travel.
Requested changes are subject to:
- Availability
- Supplier approval
- Revised accommodation or service rates
- Flight availability
- Park permits
- Additional operational costs
We will make reasonable efforts to accommodate requested changes, but we cannot guarantee that every amendment will be possible.
Any additional costs resulting from requested changes will be communicated before the revised arrangements are confirmed.
Â
6. Cancellation or Major Changes by Wild Horizons Safaris
Wild Horizons Safaris reserves the right to make reasonable changes where circumstances make this necessary for the safety, comfort or successful operation of a journey.
If we are required to cancel a trip for reasons within our reasonable control, we will offer, depending on the circumstances:
- Alternative travel dates;
- A comparable replacement itinerary; or
- A refund of eligible amounts paid directly to Wild Horizons Safaris.
Our financial responsibility will not exceed the amount paid directly to Wild Horizons Safaris for the affected booking.
Â
7. Force Majeure
Wild Horizons Safaris cannot accept responsibility for delays, cancellations, itinerary changes, additional expenses or failure to provide services caused by circumstances outside our reasonable control.
These may include, but are not limited to:
- Extreme weather
- Floods, earthquakes, fires or other natural events
- Epidemics or pandemics
- Government restrictions
- Border closures
- Civil unrest
- Security incidents
- Strikes
- Airline cancellations or schedule disruptions
- Road closures
- Mechanical breakdowns
- Changes to national park access
- Other unforeseen events affecting travel operations
Where such circumstances arise, we will make reasonable efforts to assist with alternative arrangements.
Any refunds or credits involving hotels, airlines, camps or other third parties will depend on the individual supplier’s policies.
Â
8. Passports, Visas & Travel Documents
Travellers are responsible for ensuring they have all documents required for their journey.
Depending on nationality and itinerary, these may include:
- A passport with sufficient validity
- Tanzania or other applicable visas
- Vaccination or health documentation
- Travel insurance documentation
- Return or onward travel documentation
- Any other documents required by immigration or government authorities
Wild Horizons Safaris cannot accept responsibility for denied boarding, refused entry, delays or additional expenses resulting from incomplete, expired or incorrect travel documentation.
Â
9. Travel Insurance
Comprehensive travel insurance is strongly recommended for every traveller.
Your insurance should ideally provide protection for:
- Medical treatment
- Emergency evacuation
- Trip cancellation or interruption
- Flight disruption
- Lost or delayed baggage
- Personal belongings
- Personal accident
- Activities included in your itinerary
Travellers participating in Kilimanjaro trekking or other adventure activities should ensure their insurance specifically covers those activities and the relevant altitude.
Travel insurance remains the responsibility of each traveller.
Â
10. Health, Fitness & Medical Information
Travellers are responsible for determining whether they are physically and medically fit to participate in their chosen itinerary.
Please inform Wild Horizons Safaris before travelling of any significant:
- Medical condition
- Allergy
- Disability
- Mobility limitation
- Dietary requirement
- Medication requirement
- Other condition that may affect your journey
Certain activities, particularly mountain trekking and walking safaris, may require a reasonable level of physical fitness.
Wild Horizons Safaris may advise against participation in an activity where our guides reasonably believe continuing would create a significant safety risk.
Â
11. Wildlife & Safari Safety
A safari takes place in natural environments inhabited by wild animals.
Wildlife movements and sightings cannot be guaranteed.
Travellers must follow the instructions of Wild Horizons Safaris guides, national park authorities, lodge staff and other authorised personnel.
This includes remaining inside safari vehicles where required, maintaining appropriate distance from wildlife and following the regulations of Tanzania’s national parks, conservation areas and reserves.
Participation in wildlife activities involves inherent risks associated with travelling in natural and remote environments.
Â
12. Kilimanjaro & Trekking Activities
Mountain conditions can change rapidly.
Weather, altitude, trail conditions and a traveller’s health may affect the planned itinerary.
For safety reasons, the lead mountain guide may adjust the pace, route, campsite, summit attempt or other elements of the climb when necessary.
A decision made by the lead guide concerning safety must be respected.
Reaching the summit cannot be guaranteed.
Â
13. Accommodation
Accommodation is subject to availability at the time a booking is confirmed.
Occasionally, a lodge, camp or hotel may become unavailable due to operational issues or circumstances outside our control.
Where this occurs, Wild Horizons Safaris will make reasonable efforts to provide alternative accommodation of a similar standard and location.
Specific rooms, views, tents or bedding arrangements are subject to the policies and availability of the accommodation provider.
Â
14. Safari Vehicles & Road Travel
Safari travel may involve long journeys on paved and unpaved roads.
Road conditions can vary considerably depending on location, weather and season.
While our safari vehicles are maintained for their intended operating conditions, delays may occasionally occur because of:
- Road conditions
- Weather
- Traffic
- Mechanical problems
- Government or park inspections
- Wildlife movements
- Other operational circumstances
Our team will make reasonable efforts to minimise disruption and continue the itinerary safely.
Â
15. Flights
Where flights are included or arranged as part of an itinerary, they remain subject to the operating airline’s conditions.
Flight schedules may change with limited notice.
Wild Horizons Safaris cannot accept responsibility for airline delays, cancellations, schedule changes, lost luggage or missed onward connections caused by an airline.
Travellers should allow sufficient time between domestic and international flight connections.
Â
16. Activities & Itinerary Changes
Safari itineraries describe the intended journey but should not be interpreted as an absolute guarantee of every activity occurring exactly as scheduled.
Wildlife movement, park regulations, weather, road conditions, flight schedules and other factors may require changes.
Our guides and operations team may modify the sequence of activities where doing so improves safety, practicality or the overall operation of the trip.
Â
17. Traveller Conduct
Travellers are expected to:
- Respect Tanzanian laws and local customs
- Follow reasonable safety instructions
- Treat guides, staff, local communities and other travellers respectfully
- Avoid behaviour that places people, wildlife or property at risk
- Respect national park and conservation regulations
Wild Horizons Safaris reserves the right to discontinue services to a traveller whose behaviour creates a serious safety risk or substantially disrupts the experience of others.
In such circumstances, unused services may not be refundable.
Â
18. Damage & Personal Property
Travellers may be responsible for damage caused intentionally or through negligence to vehicles, accommodation or other property.
Wild Horizons Safaris is not responsible for lost, stolen or damaged personal belongings unless the loss results directly from negligence for which Wild Horizons Safaris is legally responsible.
Travellers should keep passports, cash, electronic devices and valuables secure and ensure these items are adequately insured.
Â
19. Photography & Media
From time to time, photographs or videos may be taken during Wild Horizons Safaris experiences.
Such images may be used for our website, social media or other promotional materials.
If you do not wish to appear in promotional material, please inform us in writing before or during your journey.
We will respect reasonable requests not to use identifiable images of you.
Â
20. Third-Party Service Providers
Wild Horizons Safaris works with independent accommodation providers, airlines, activity operators and other travel suppliers.
Although we carefully select the services used in our itineraries, these suppliers operate independently and may apply their own terms and conditions.
Wild Horizons Safaris is not responsible for acts or omissions of independent suppliers where these are outside our reasonable control.
Â
21. Limitation of Liability
To the extent permitted by applicable law, Wild Horizons Safaris cannot be held responsible for losses resulting from circumstances beyond our reasonable control, including:
- Illness or personal injury not caused by our negligence
- Theft or loss of personal belongings
- Airline disruption
- Supplier failures beyond our reasonable control
- Government restrictions
- Weather or natural events
- Wildlife behaviour
- Force majeure circumstances
Where Wild Horizons Safaris is legally responsible for a claim relating to the provision of our travel services, our liability will be limited to the amount paid directly to Wild Horizons Safaris for the affected booking, except where applicable law provides otherwise.
Â
22. Complaints & Assistance During Your Journey
If something does not meet your expectations during your trip, please inform your guide or Wild Horizons Safaris representative as soon as possible.
Reporting an issue while you are travelling gives us the opportunity to investigate and attempt to resolve it immediately.
If the matter cannot be resolved during your journey, a written complaint should be submitted within 14 days after completion of the trip.
Please include sufficient details for us to investigate the matter properly.
Â
23. Privacy

This information may be shared with relevant service providers such as:
- Hotels and lodges
- Airlines
- Park and conservation authorities
- Transfer operators
- Activity providers
Information will only be shared where reasonably required to organise your journey or where disclosure is required by law.
We do not sell travellers’ personal information.
Â
24. Governing Law
These Terms & Conditions are governed by the laws of the United Republic of Tanzania.
Any dispute arising in connection with services provided by Wild Horizons Safaris will be subject to the applicable laws and jurisdiction of Tanzania.
Â
25. Acceptance of These Terms
By paying a deposit, making full payment or otherwise confirming a booking with Wild Horizons Safaris, you confirm that you have read, understood and accepted these Terms & Conditions.
If you are making a booking on behalf of other travellers, you are responsible for ensuring that they are aware of and accept these conditions before travel.
